Zoho One has introduced a new feature called Spaces, aiming to enhance user experience and productivity in digital workplaces. The update organizes the workspace into three main categories: Personal Space, Organization Space, and Functional Spaces. Personal Space gathers tools such as Mail, Calendar, Tasks, and WorkDrive for individual productivity. Organization Space focuses on collaboration through platforms like Feeds, Forums, and Townhalls. Functional Spaces are tailored to specific roles within departments such as Sales, Marketing, HR, and Finance.
The system uses contextual intelligence to display only relevant applications based on a user’s role. This approach is designed to reduce unnecessary clutter and streamline access to needed tools.
Spaces offers three navigation styles: Top Navigation for a minimalist interface, Side Navigation for those familiar with traditional layouts, and Compact Navigation for users who want quick access to priority modules. Users can further personalize their experience by promoting frequently used applications into the main navigation bar using the Tools panel.
A notable addition is Boards—a feature that arranges applications contextually so that related items like notes or tasks from different Zoho products are grouped together. This design aims to make discovery of tools more intuitive.
Dashboard 2.0 introduces improved data visualization with enhanced widget management and cross-application data population capabilities. QuickNav enables centralized search across all Zoho apps via a keyboard shortcut (Z+space). The Action Panel brings together activities and approvals in one view; it supports over 20 Zoho applications in its Planner section and 15 in Approvals.
For companies using third-party software alongside Zoho One, Web Tab Integrations allow these external apps to be embedded directly within the interface—eliminating the need for switching between tabs.
Unified Status Availability lets users manage their status across all relevant applications from one place so colleagues know when they are available.
